Roles

Every account has one of two roles. Your role controls what you can see and do.

Dashboard All

The first page after login. Shows a live snapshot of the business — open orders, low-stock alerts, recent activity, and quick links to whatever needs attention today.

If something looks off on the dashboard, it is pulling live from Odoo — the number is real.

Blend Queue All

The main production board. Shows every blend that needs to be made, in priority order. Kitchen staff work from this screen during production.

What each column means

  • Blend — the tea name and SKU
  • Qty — ounces to produce
  • Status — Pending, In Progress, or Done
  • Priority — set by a manager, higher = make first
  • Kit — if checked, this blend is a kit (multiple components)

Marking a blend done

Find the blend in the queueUse the search bar or scroll. Sorted by priority by default.

Click "Start" then "Done"Status moves through Pending → In Progress → Done. Each transition is recorded.

Adding a blend to the queue Manager

Click "+ Add to Queue"Search for the blend by name or SKU.

Set quantity and priorityQuantity is in ounces. Priority 1 = most urgent.

The queue is shared — everyone sees the same list in real time. No need to communicate changes separately.

Kitchen View All

A simplified, large-text version of the blend queue designed for the tablet mounted in the kitchen. Shows only what is actively being worked on or pending — no admin controls, just the task list.

Use this view on the kitchen tablet. The Blend Queue page is better for planning; Kitchen View is better for executing.

Batch Orders Manager

Creates manufacturing orders for the kitchen to fulfill. A batch groups multiple blend jobs into one work order so the kitchen can make them together. Open batches appear in the kitchen view.

Creating a batch order

Search for a blendType the blend name in the search field.

Open batches show up under "Open Batches" on this page. The kitchen marks them done from the Kitchen View or Blend Queue.

Inventory All

Shows current stock levels for all products — raw materials, bulk blends, packaging, and retail teas. Pulls live from Odoo.

Viewing stock

All roles can see the inventory list. Use the search to filter by name or SKU. Low-stock items are highlighted.

Updating a count Manager

Find the productSearch by name or scroll. Items are grouped by category.

Edit the quantityClick into the qty field and type the new number. Quantities are in the product's unit — oz for raw materials, units for packaging.

Click SaveWrites the updated count to Odoo immediately. The change is logged in the activity feed.
Saving inventory overwrites the current Odoo count. Double-check your number before saving — there is no undo from this screen.

Photo Count All

Take a photo of a product and AI estimates how many are there. Useful for quick spot-checks without counting by hand. Kitchen staff can use it; only managers can save the result to Odoo.

How to use it

Select the productChoose from the dropdown. BLK- and RM- products are excluded — use a scale for those.

Take or upload a photoGet the whole item in frame. For cups, include the full stack base to top. Your phone camera works great.

Click AnalyzeAI returns a count, confidence level (High / Medium / Low), and its reasoning.

Review and confirmEdit the number if needed, then Save to Inventory (managers only). Kitchen staff see the estimate and can ask a manager to confirm.
The AI model is Claude — the same one powering this app. It reads the image and counts visible items. Low confidence means the photo was unclear or the item is hard to count visually. Always review the reasoning before saving.

Supplies Manager

Tracks cup, lid, straw, and sleeve stock and forecasts how long it will last based on actual POS sales. Calculates how many cases to order to keep 30 days of stock on hand, and creates a Purchase Order in Odoo for Restaurant Depot with one click.

Reading the forecast

  • On Hand — current units in Odoo inventory
  • Daily Use — average per day based on the selected sales window
  • Days Remaining — on hand divided by daily use. Shown in red if under 30 days
  • Cases to Order — how many cases to get back to 30 days of stock

Creating a Purchase Order

The forecast is based on POS drink sales — it knows that a 16oz iced tea uses a 16oz PET cup, a lid, and a straw, so it tallies supply consumption automatically.

Shopping List All

Auto-populated from two sources: raw materials that are below their par level in Odoo, and ingredients needed to fulfill the current open batch orders. Not a freeform list — the system generates it based on what you actually need.

Two sections

  • Low Stock — ingredients whose Odoo on-hand quantity is below the configured minimum. Shows how much you have and how much you need.
  • Needed for Batches — ingredients required to complete the open batch orders, with the quantity short if stock does not cover the need.
Run this page before placing a raw material order — it consolidates both restock and production needs into one list.

Fulfill Orders Manager

The fulfillment page. Shows orders that are ready to ship and lets you buy shipping labels via Shippo, mark orders as shipped, and enter tracking numbers. This is where an order goes from "packed" to "on its way."

Buying a shipping label

Batch label purchasing

Select multiple orders using the checkboxes, then click "Buy Labels" to rate and purchase labels for all selected orders in one flow.

Manual tracking entry

If you buy a label outside Shippo (for example at the post office), use "Enter Tracking" to paste the tracking number and mark the order shipped without going through the Shippo flow.

Order Pipeline Manager

A stage-based view of every open order from checkout to shipped. Five tabs, each showing orders at that point in the process. Count badges at the top are clickable shortcuts to each stage.

Ghost orders

If an order appears marked shipped in Blend Manager but has not been validated in Odoo, it is flagged as a ghost order with a warning banner. Use the Validate or Cancel action directly from the banner to resolve it.

Check the Pipeline first thing each morning to see what is stuck and what needs attention that day.

Label Library All

Stores and prints the 4x6 packaging labels for tea products. Labels are exported from Canva and uploaded here. Anyone can print; only managers can upload, edit, or deprecate labels.

Uploading a label Manager

Click "+ Upload Label"Accepts PDF (best quality), PNG, JPG, or a Canva ZIP export.

Export your Canva labels as a single combined PDF with one page per label. Upload it once and name all 25 in one session.

Printing a label

Find the label in the Library tabUse search if you have many. Deprecated labels are hidden by default — check "Show deprecated" to see them.

Click "Print"A preview of the label appears in the print dialog so you can confirm you have the right one.

Set quantity and click PrintSends to the label printer via Home Assistant. The job is logged automatically.

Print queue — printing multiple labels at once

Check the boxes on the cards you wantA "Print Queue" bar appears at the bottom of the screen showing how many are selected.

Click "Print Queue"A dialog shows all selected labels with a quantity field for each. Set the qty per label.

Click "Print All"Labels print sequentially with a short gap between each so the printer can feed properly. A progress bar shows which label is currently printing.

Print History tab

Shows every print job — date, label, quantity, and who sent it. Useful for tracing when a label was last printed or confirming a run completed.

Usage and Forecast tab Manager

Shows how many of each label have been printed over a selected window (14 / 30 / 60 / 90 days), estimates monthly usage, and calculates rolls consumed. One standard 4x6 thermal roll holds 500 labels — use this to know when to reorder from Uline.

Editing or deprecating a label Manager

Click "Edit" to rename a label or update its notes. Click "Deprecate" to remove it from the active library — it stays in print history and can be shown again with "Show deprecated." Use this when a label design is replaced by a new version.

When you upload a new version of a label for the same product, the old version is automatically deprecated and the version number increments. Print history for the old version is preserved.

Purchase Orders Manager

Shows all purchase orders in Odoo — open, received, and cancelled. Use this to track what has been ordered and what is still outstanding.

Purchase Orders can be created here or auto-generated from the Supplies page. Click any PO to open it in Odoo directly.

Purchase Requests Manager

A lightweight internal request form. If someone on the team needs something ordered, they submit a purchase request here. Managers review and convert approved requests to actual Purchase Orders in Odoo.

New Product Manager

Creates a non-tea product directly in Odoo — Packaging, Market Gear, Equipment, or Marketing Materials. The page asks what type you are adding first so the right category and reference prefix are set automatically.

The reference suffix is auto-suggested from the product name — all caps, spaces to dashes. You can edit it before saving. Keep refs short and consistent so they are easy to search in Odoo.

New Tea Manager

Creates a new retail tea product in Odoo — sets the name, SKU (BLK- prefix), size variants (2oz, 4oz, etc.), and links the Bill of Materials to the correct bulk blend. All variants are created in a single form submission.

SKU format

Retail teas use BLK- as the prefix followed by the blend name. Example: BLK-EARL-GREY. The size suffix is added automatically per variant.

Creating a new tea also creates a Bill of Materials in Odoo linking the retail product to the bulk blend. If the bulk blend does not exist yet, create it in inventory first.

Blend Costs Manager

Recomputes the cost of every finished tea from its Bill of Materials. Calculates ingredient cost per oz using the current vendor prices stored in Odoo, then rolls that up into a per-unit cost for each retail size variant.

Run this after updating ingredient prices in Odoo to get fresh margin numbers across the product line. The page shows what changed so you can spot blends that have gotten more expensive.

If a blend's margin looks off, check the raw material vendor price in Odoo — that is the source. Fix the vendor price there, then re-run Blend Costs to see the updated number.

Website Products Manager

Shows all products currently published on the Odoo e-commerce storefront. Use this to check what is visible to customers and quickly toggle products on or off without going into Odoo directly.

Reports Manager

Production and stock reports showing what was made and what is on hand. All reports pull live from Odoo and can be exported.

Batch Records Manager

A permanent production log. A record is automatically created each time kitchen marks a batch as done — not something you enter manually. Shows what was made, when, by whom, and any notes about substitutions or quality issues left by kitchen staff.

Use Batch Records for end-of-month reconciliation or tracing back a specific production run. Records cannot be deleted — they are the permanent history of what came out of the kitchen.

Activity Log Manager

A chronological feed of everything that has happened in Blend Manager — inventory saves, blend queue changes, label prints, purchase requests. Each entry shows who did it and when.

If something changed and you are not sure why, check the activity log first. It is the fastest way to trace what happened.

System Health Manager

A health check of the entire product chain. Run this when something looks off or after a big change to the product catalog. Four sections:

Some sections have an auto-fix option that creates or patches Odoo records. Run the check first (read-only) and review the results before applying any fix.

Settings Manager

Blend Manager app configuration — user accounts, role assignments, Odoo connection details, and app-level toggles. Changes here affect everyone immediately.

Adding a user

Go to Settings and click "Add User"

Enter their name, email, and assign a roleKitchen or Manager. They will log in via Auth0 using the email you enter.

Login is handled by Auth0 — no passwords managed in Blend Manager. The email must match their Auth0 account exactly.
